Job Description

The Deputy Centre Manager will support the Centre Manager to ensure the efficient, effective and safe day to day running of The Prostate Centre. Responsible for ensuring the prompt management of all patient accounts functions whilst being mindful at all times of the need to provide a first class level of service to all customers of the Prostate Centre and Company in line with internal audit requirements.

Salary - Competitive

Working hours 37.5 per week, Monday - Friday 9 - 5:30pm (some flexibility required)

Duties & Responsibilities

  • Work alongside the Centre Manager to manage staff numbers appropriate for the workload including recruitment of new or temporary staff 
  • Manage activities of the secretarial, reception and Patient Admin staff on a daily basis, including annual leave, sickness and other absence
  • Maintain paperwork associated with the granting of Practising Privileges to Prostate Centre clinicians and chase up necessary regulatory documentation
  • Oversee staff training and CPD ensuring all are fully up to date with mandatory training
  • Manage a full schedule of risk and health and safety assessments in the Centre 
  • Act as the Health and Safety representative and regularly attend Health and Safety/ Outpatient working group meetings
  • Participate in Clinical Governance and Multidisciplinary team meetings, taking minutes as required.
  • Take responsibility for arranging and leading administrative and core team meetings on a monthly basis
  • Be responsible for ensuring any complaint is dealt with in a timely manner and escalated to Centre Manager as necessary
  • Manage incident reporting functions, ensuring discussion and analysis with all relevant parties and the generation of action plans
  • Act as the key point of contact for estates management and cleaning teams to ensure necessary action is taken to ensure that the building is maintained in a safe, orderly and clean condition appropriate for its purpose at all times.
  • Liaise with maintenance companies to ensure all maintenance of both the building and equipment is successfully completed and up to date.
  • To liaise with clinical and non clinical staff to ensure supplies of both clinical and non clinical stock are replenished as required, raising requisitions and liaising with materials management as necessary
  • Act as the initial point of contact for staff in the resolution of simple day to day IT matters
  • Liaise with IT and telephone support companies as required to ensure systems are working effectively
  • Act as a responsible key holder for the building.
  • Oversee the handling and preparation of patient invoices, receipts and statements 
  • Supervise the Senior Patient Accounts Administrator Officer allocating workload and motivating and enhancing work performance
  • Liaise with patients, consultants and insurance companies on aspects relating to the financial aspects of all patients
  • Maintain up to date knowledge on price agreements and billing procedures
  • Ensure the banking is reconciled on a daily basis and maintain secure cash handling process
  • Resolve outstanding queries relating to insurance cover, letters of guarantee, charges etc. in close collaboration with members of the Patient Liaison Team
  • Oversee the carrying out of credit control activity and liaise with the relevant collections teams
  • Any other functions required in order to assist the department to meet it’s overall goals and objectives

Skills & Experience

  • Proven management, organizational and planning ability
  • Sound understanding of the healthcare profession and medical insurers
  • Previous experience of sourcing and ordering of clinical supplies
  • High level of computer literacy
  • Ability to prioritize workload in order to meet the department objectives
  • Ability to identify and solve problems efficiently and effectively
  • Ability to be flexible and adaptable in managing daily challenges
  • Refer upwards for appropriate guidance/authorization in accordance with internal control procedures
  • Effective communication with patients, consultants, insurance companies and work colleagues
  • Ensure confidentiality and security of data
  • Cashiering and banking function requires handling of cash
  • Adherence to instructions provided by the Centre Manager
  • A clinical background is desirable but not essential
